Mô tả
– Reception jobs: welcome visitors, answer incoming calls and transfer to the right PIC, send and receive mail, fax and correspondences;
– Business trip arrangement for guests, staffs (Incl. Air ticket, car/taxi arrangement, accommodation, VISA, travelling insurance, payment settlement);
– Managing all company official documents (Official letter in-out or service contracts).
– Implementing the payment procedure for all related service contracts/ marketing staff’s entertainment invoices or monthly telecommunication fee;
– Send Leave report (when Hanoi staffs on leave) to HCM & related Dept.;
– Performing the procurement for regular orders (Sundries, Stationery, etc.);
– Managing all services supplied to company (cleaning, securities, rental office, rental car, telecom service, etc.)
– Managing all office equipment like PC, fax, printer, fixed phones, and so on, in terms of warranty, maintenance, repair, new purchase, etc.;
– Cooperating with HR&ADM team in HCM Head office in issues relating to staffs: submit new staff profiles; guide the resigned staffs to complete the leaving procedure and the exit checklist, etc.
– Organizing the company events as requested;
– Organizing annual medical check-up;
– Arrange Interview Schedule (call/ email to the candidates to get their confirmation then summary candidates’ basic info into the Interview Schedule & send to the Management);
– Provide guidance for new hires
– In charge of finger scanning machine in Hanoi;
– Other HR related matters
– Supporting other departments (if required)
– Performing other tasks as request from the Management.
– Procurement:
o Receiving request of procurement of equipment or material from other departments;
o Contacting with venders and getting quotations from them. Compare the quotations and select the winner and submit to Management;
o Preparing the contract with vender and getting approval from Management;
o Following the implement of procurement contract, receiving goods, inquire documents and doing in-store process;
o Cooperating with IT in receiving and check status of office IT equipment;
o Cooperating with accountant in payment process.
