PURPOSE OF THE ROLE
- Responsible for monthly payroll process of assigned external clients of HR Solutions Solutions and sale (BusinessDevelopment)
- Ensure payroll is processed in a timely manner and with accuracy, compliant with what relevant, defined in the HRSolutions’ SOP (Standard Operational Process)
- Ensure compensation & benefit administration is correct and compliant to Company’s policy and Labour Code
- Perform variety of administrative tasks that support to overall mission of quality performance and service
1. Monthly Payroll Processing: process is done through software (MOS) and double check on Excel spreadsheets.
- Timekeeping and Leave Management: update monthly timesheets and leaves taking, calculate leave balance and keep allemployee abreast of outstanding/balance leaves if any.
- Data input, record and report: responsible for the input and update on Payroll data provided by HR Solutions Team,ensure data is recorded correctly and accurately.
- Payroll Distribution: calculate monthly payrolls and process the payroll distribution through bank transfer once there’s Management’s approval. Ensure all reconcile/adjustment is accurately calculated and ensure proper approval/confirmation is in place.
- Payroll distribution: prepare payslip; ensure the distribution of Payslip (for internal employee only) either via email or web-basedaccess is treated with highest confidentiality.
2. Compensation & Benefits administration:
- SMUI: Make periodically reports as per regulatory requirement of MOLISA for these purposes including but not limited to:issuing medical card and Social Insurance Book to new hired employees, closing Social Insurance Book for resignation/terminated employees, following up social contribution balance, sorting out all issues relating to social insurances (claiming, payment, etc.)
- PIT: register PIT code & profile for new employees, process periodically PIT reports & claims as per regulatoryrequirement of Tax Department
- Other Insurances: (e.g. Accidental Insurance, Healthcare Scheme) update new hired and resigned staff into periodically reports and inform Agency as per service agreement. Process all procedures for insurance claiming against compensation.
3. Employee Documentation: ensure all employee/contractor profiles are sufficient and stored properlyin both hard-copies and soft-copies, following company’s standard.
